Charles Towne Plumbing is looking for a reliable, detail-oriented Virtual Assistant to support daily office, scheduling, customer service, and administrative tasks. This role is ideal for someone who communicates clearly, stays organized, learns software quickly, and enjoys helping a busy home service team run smoothly. You will help keep customers informed, support the service team, manage follow-ups, and assist with administrative processes that help the company deliver an excellent customer experience.
Key Responsibilities
- Answer and respond to customer calls, emails, messages, and service inquiries.
- Schedule, confirm, and update appointments for plumbing service calls.
- Support dispatching and communication between customers, technicians, and management.
- Enter and update customer information, job notes, invoices, and service details.
- Follow up with customers after service visits, estimates, or pending approvals.
- Assist with CRM updates, reporting, data entry, and administrative organization.
- Help track leads, missed calls, and open opportunities.
- Maintain professional, friendly communication that reflects Charles Towne Plumbing's customer-first values.
- Support the Service Manager and ownership team with daily operational tasks as needed.
- Assist with basic marketing tasks, including creating or updating simple graphics, flyers, social media posts, and branded materials.
- Use Canva or similar design tools to support marketing and promotional needs.
Qualifications
- Previous experience as a virtual assistant, administrative assistant, dispatcher, scheduler, or customer service representative.
- Experience supporting a home service, plumbing, HVAC, electrical, construction, or contractor-based business is preferred.
- Strong English communication skills, both written and verbal.
- Comfortable speaking with customers by phone and handling service-related questions professionally.
- Highly organized, detail-oriented, and able to manage multiple tasks at once.
- Experience with ServiceTitan is a strong plus; experience with similar platforms such as Housecall Pro, Jobber, FieldPulse, FieldEdge, or other CRM/scheduling software is helpful.
- Experience with Canva is strongly preferred.
- Reliable internet connection, quiet workspace, and ability to work independently.
- Positive attitude, professionalism, and willingness to learn company processes.
